Scope
This privacy notice applies to the public website provided by Syncware GmbH at syncware.de, including publicly accessible subdomains. Where a subdomain provides a more specific privacy notice, that notice takes precedence.
Hosting and website delivery
We host this website with STRATO GmbH, Otto-Ostrowski-Straße 7, 10249 Berlin, Germany. STRATO processes data required for technical delivery on our behalf under a data processing agreement pursuant to Article 28 GDPR.
When the website is accessed, the requested page or file, date and time, transferred data volume, referrer, browser type and version, operating system, and connection data may be processed. This processing provides a secure, stable, and efficient website, supports error analysis, and protects against misuse. The legal basis is Article 6(1)(f) GDPR. Our legitimate interest is the reliable and secure operation of our website.
Access logs provided by STRATO contain anonymised host or IP information and remain available for up to six weeks. Error logs remain available for the preceding 24 hours. Syncware does not combine these logs with other data or use them for personal profiling.
Internal provider logs and temporary storage data may be retained for up to 60 or 90 days, depending on the data type and specific security and operational requirements.
Processing generally takes place in Germany. Any additional technical service providers are engaged as processors in accordance with legal requirements.
Encrypted transmission
The website is delivered over HTTPS, which encrypts content and other data during transmission. For confidential information, please use a secure communication channel agreed with us in advance.
Contact by email and contact form
If you contact us by email or through the contact form, we process the information you provide to handle your enquiry and related follow-up questions. The contact form collects the company, your name, business email address, topic, and message. It also transmits the selected language and source page so that we can route the enquiry appropriately.
Article 6(1)(b) GDPR applies to contractual and pre-contractual enquiries; Article 6(1)(f) GDPR applies to general business communication. Our legitimate interest is reliable communication with prospective customers, customers, and business partners. By ticking the checkbox, you confirm that you have read this privacy notice; this does not constitute consent to receive advertising.
Providing this information is neither a statutory nor a contractual requirement. We need the fields marked as required to process your enquiry. Without this information, the form cannot be submitted and the enquiry cannot be processed.
Form enquiries are received by the web server hosted with STRATO and recorded as service requests in Jira Service Management for structured handling. The service is provided by Atlassian Pty Ltd and its affiliated companies. Atlassian processes the submitted content on our behalf. Where personal data are transferred to countries outside the European Economic Area without an adequacy decision, the EU Standard Contractual Clauses incorporated into Atlassian’s data processing agreement apply. The agreed safeguards can be viewed in and downloaded from Atlassian’s Data Processing Addendum. Atlassian provides further information in its Privacy Policy.
To protect the form against automated misuse, the connection address is combined with a rotating secret key to create a technical value that cannot be read directly. This value is used only to limit repeated enquiries; only timestamps from the preceding 15 minutes are considered. Expired state files are automatically removed when a subsequent form request is received. The legal basis is Article 6(1)(f) GDPR; our legitimate interest is maintaining the availability of the form and protecting it against misuse. Neither the connection address nor this value is transferred to Jira.
We delete this information once the enquiry has been resolved, unless statutory retention duties or legitimate reasons require longer storage. If a message becomes part of records subject to statutory retention, it is stored for the applicable period and deleted afterwards.
We do not use solely automated decision-making that produces legal or similarly significant effects.
Cookies, audience measurement, and external content
This website does not use cookies, analytics, tracking, or marketing services. Fonts, icons, and product images are served locally. Content from social networks, map providers, or video platforms is not loaded automatically.
Your browser connects to external websites only after you follow an external link. Any subsequent processing is governed by the respective provider’s privacy notice.
Recipients
We disclose personal data only to recipients who require it for the purposes described above. These may include hosting, email, and IT service providers as well as Atlassian, the provider of the ticket system used to handle enquiries. Processors acting on our behalf are bound by agreements pursuant to Article 28 GDPR. We do not disclose personal data for advertising purposes.
Your rights
Subject to the statutory requirements, you have the right of access (Article 15 GDPR), rectification (Article 16 GDPR), erasure (Article 17 GDPR), restriction of processing (Article 18 GDPR), data portability (Article 20 GDPR), and objection (Article 21 GDPR). You may withdraw consent at any time with future effect.
Where processing is based on Article 6(1)(f) GDPR, you may object at any time on grounds relating to your particular situation. To exercise your rights, contact info@syncware.de.
